Privacy Policy

This Privacy Policy describes how ClearMetric LLC, a Texas limited liability company doing business as VeriFunding ("we," "us," or "our") collects, uses, shares, and protects information through Bobtail HQ. It applies to bobtailhq.com, any page we operate there, and information you send us by email, phone, text message, or through a call booking (together, the "Services").

1. Who we are

Bobtail HQ is operated by ClearMetric LLC. We help motor carriers review their FMCSA safety records, gather evidence, and prepare and file DataQs requests for data review with the agencies that decide them. Independent service. Not affiliated with FMCSA or USDOT.

2. Scope and eligibility

The Services are for business use and are offered in the United States. We do not knowingly collect information from anyone under 18. Do not submit information through the Services if you are under 18.

3. Information we collect

Information you provide. When you complete a form, use the chat assistant, book a call, place a deposit, or contact us, we collect your name, email address, phone number, contact preference, company, role, business identifiers you enter (such as a USDOT number), your answers about your needs, and the content of your messages.

Chat assistant. Where a page offers chat, it is an AI assistant. Your messages are sent to our AI provider, Anthropic, to generate replies, and the conversation and a summary are stored with your request.

Free tools and public records. When you use a free tool, we collect what you enter and the results. Depending on the tool, results come from public records about the business you name (such as the motor carrier safety data the Federal Motor Carrier Safety Administration publishes) or from AI and search services we query through our data provider, DataForSEO. We store the results with your request.

Call booking. If you book a call, your name, email, chosen time, and a summary of your needs are sent to our scheduling provider, Cal.com, which sends you the calendar invitation.

Payments. Deposits and payments are processed by Stripe. We receive the amount, status, and the email you enter, never your full card number. Stripe's privacy policy governs its handling of your payment information.

Client data. If you engage us, you may give us business records, documents, or access to systems. We use them only to deliver the work you asked for, as described in Section 6.

Information collected automatically. When you use the Services, we and our service providers collect device and usage information, including IP address, browser type, pages viewed, the ad or link that brought you, and timestamps. We keep IP addresses only in a one-way hashed form, to limit abuse.

Advertising measurement. We use Google Ads conversion tracking. When you arrive from a Google ad and submit a request, Google records that a conversion occurred with the ad click identifier. We may send Google a hashed form of your email address and phone number to match the conversion to the click (enhanced conversions). We use this only to measure whether our ads work.

Service providers. We use third parties to operate the Services: Vercel (hosting), Supabase (database), Anthropic (chat assistant), DataForSEO (AI and search data for free tools), Cal.com (scheduling), Stripe (payments), Mailgun and Resend (email), and Google (ad measurement). They process information on our behalf under contractual restrictions.

On your instruction. When you engage us to file, submit, or send something for you, such as a request for data review with a government agency, we share the information that request needs with the party that receives it.

Professional advisors. We may share information with our attorneys, accountants, and insurers.

Legal and compliance. We may disclose information where required or permitted by law, legal process, or a government request, or where necessary to investigate fraud, enforce our agreements, or protect our rights, property, or safety.

Business transfer. If we are involved in a merger, acquisition, financing, reorganization, or sale of assets, information may be transferred as part of that transaction.

7. If you submit information about another person

If you submit information about an employee, driver, customer, or any other individual, you represent that you have the authority to do so and have obtained any consent required by law.

8. Communications and consent

Email. We email you about your request, your call, your deposit, and any engagement. When you give us your email for a free report, a plan, or a request, we send you what you asked for and may also add you to our email newsletter. Every newsletter includes an unsubscribe link, and you can opt out of any marketing email by replying or writing to hello@bobtailhq.com. We may still send messages needed for an active request or engagement.

Phone and text. By providing a phone number and submitting a request, you consent to receive calls and text messages from us at that number about your request, including calls placed and messages sent using automated technology. Consent is not a condition of any purchase. Message and data rates may apply. Message frequency varies. Reply STOP to opt out of text messages and HELP for help. Opting out of text messages does not opt you out of email or of calls needed to service an active request.

Recording. We may record or keep the content of calls, text messages, and emails for quality, training, and recordkeeping purposes where permitted by law.

We do not sell or rent your email address or phone number.

9. Cookies and similar technologies

We use cookies and similar technologies that are needed to operate the Services, remember your session, and measure ad conversions. You can opt out of Google's ad measurement at adssettings.google.com or by blocking third-party cookies in your browser; some features may not work without cookies. We do not currently respond to Do Not Track signals. Where required by applicable state law, we honor recognized opt-out preference signals such as Global Privacy Control.

10. How long we keep information

Requests, tool results, and chat conversations are kept for 12 months from submission unless you become a client, in which case they are kept for the engagement and 3 years after. Client data is kept only as long as the engagement needs it and is deleted or returned at the end, unless the engagement agreement says otherwise. Payment records are kept as required for tax and accounting purposes.

11. Security

We maintain administrative, technical, and physical safeguards designed to protect information, including access controls and encryption in transit. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If a breach affecting your information occurs, we will notify you as and when required by law.

12. Your choices and privacy rights

Depending on where you live and the law that applies, you may have the right to:

To exercise a right, email hello@bobtailhq.com with the subject line "Privacy Request." We will verify your identity and your authority to make the request before acting on it, and respond within the time required by law. An authorized agent may submit a request on your behalf with proof of authorization. We do not discriminate against anyone for exercising a privacy right.

Limits on deletion. We may decline a deletion request, in whole or in part, where we are required or permitted by law to keep information, including to complete work you requested, meet legal obligations, prevent fraud, or establish or defend legal claims. Information already submitted to a third party at your instruction is subject to that party's practices.

Appeals. If we decline a request, you may appeal by replying with the word "Appeal." If we deny the appeal, you may contact your state attorney general; Texas residents may contact the Office of the Texas Attorney General.

13. Third-party sites

The Services link to third-party sites, including Stripe checkout, Cal.com scheduling, and government data sources. We do not control those sites and are not responsible for their privacy practices.

14. Changes to this policy

We may update this policy. We will post the updated policy with a new effective date and identify material changes. Continued use of the Services after the effective date means you accept the updated policy.

16. Governing law

This policy is governed by the laws of the State of Texas, except where the law of your state of residence governs a privacy right described in Section 12. Disputes are subject to the dispute resolution provisions of our Terms of Use.
